Sprinkles creates premium fresh-baked cupcakes, cookies, cakes, and numerous other treats. Through our partnership with Sprinkles, BHW has designed, developed, and launched an elegant ordering platform, complete with highly customizable ordering options. In addition, BHW built the highly streamlined fulfillment systems and implemented numerous integrations needed to power and scale this platform.

Online Ordering Application

The Sprinkles ordering application is meticulously designed to function perfectly across all browser sizes. This highly polished application includes robust customization options that are food-forward, powerful, and – most importantly – joyous to use. Guests are able to craft their own perfect box of cupcakes by selecting their desired flavors and then selecting or uploading their chosen decorations. During each step, the guest is shown a deliciously detailed preview of their flavors, decorations, messages, stickers, and packaging.

Order Fulfillment System

No two restaurants have the same operational and fulfillment processes. Many white label systems can’t properly account for these intricacies and are rarely optimized for a specific brand’s workflows. This could not be more true in a bakery, where careful planning and preparation is required each day, especially since Sprinkles prides itself on fresh baking items each day. In order for this powerful ordering system to meet the unique needs of Sprinkles guests, BHW also designed and developed an order fulfillment system that is used in the kitchen to receive, fulfill, and monitor the process of each order. This ensures that staff are able to remain well ahead of incoming orders and accurately complete each request exactly.

Order Throttling and Scheduling System

Many restaurants struggle to properly pace their incoming orders. If not handled correctly, this can lead to waste or customer frustration. BHW worked with Sprinkles to design an adaptable, scalable, and powerful system to ensure that each bakery is never overwhelmed, while maximizing how many orders can be placed at any given time. This system has allowed Sprinkles to efficiently handle typical days, days with unexpected closures or kitchen issues, and extremely busy holiday periods.

Olo & Toast Integrations

Most ordering platforms integrate with existing menu management and POS systems. For this project, we integrated with both the Olo and Toast platforms. BHW designed an elegant solution architecture that enabled us to rely on these platforms for the things they do well, but supplement and refine the areas where they were not an ideal fit for Sprinkles. This was achieved by crafting a custom front-end system, developing a robust bakery application, and constructing key middle-ware, all while considering how these pieces fit into a cohesive system.

Phone Ordering System

Sprinkles, as a high-end brand, maintains a white glove approach for many of their larger customers for important orders. To support this high touch guest services team, BHW developed a phone order system that leverages the guest-facing system, while extending its functionality in key areas. This allows Sprinkles staff to easily and quickly input orders on behalf of guests, while ensuring that every order comes into the bakery the exact same way.

3rd-Party Ordering Integrations

The system BHW created for Sprinkles supports both delivery fulfillment of first-party orders and order fulfillment for third-party orders. All orders flow through the same processes and are presented identically to the kitchen. In addition, all orders - regardless of source - contribute to and are beholden to the same centralized throttling and scheduling system. This sound solution design ensures that every order is properly fulfilled.

Legacy System Migration

Prior to starting this project, Sprinkles had developed numerous applications for ordering and fulfillment over a period of 10 years. BHW worked with Sprinkles to document and evaluate this existing platform, such that incremental replacements could be made, rather than waiting for a monolithic rebuild. All of this preparatory work was completed without limiting the potential of the new system. A carefully phased approach, with precise integrations, data feeds, and data migrations from the legacy system was completed without frustrating staff or guests.

Marketing System Integration

In addition to the various ordering and fulfillment systems BHW developed for Sprinkles, we also completed key integrations with a 3rd-party marketing system. These business-focused integrations allow Sprinkles to monitor the successes of various products, track ordering patterns across sources, and construct timely and highly customized messages to guests. Not only do these integrations boost the success of the platform, they also enable data-driven refinement of the system.
